Help understanding storage options

Hi everyone,

Apologies if this is covered in the documentation, only I would be grateful for some clarity.

We have a Collaborative Storage for Zotero Lab subscription wherein all our users log into a Windows server to access Zotero, and a local (C:\) Zotero database is stored for each user. All users belong to a group. All changes made by users is then synchronised and files (e.g. PDFs) uploaded to the paid Zotero cloud and then all users local data is up to date in that group.

I have been asked if we still require the paid subscription if we have local files.

If we didn't have a paid subscription, can all data still be synchronised between users in the group, or does this require the Zotero server as an intermediate to store and share the files?

If so, is it possible to continue with file sync without a subscription at all if we host the files on our own WebDAV server?

Also, if we don't renew our subscription in time (it will expire in a few days) what are the limitations to our service - I assume no additional file syncing

If anyone is local to the UK and is available for a phone call if this is not clear, please let me know, and I would be grateful for your time

  • There's no reasonable way to sync files in a group without using Zotero file storage -- WebDAV doesn't work for groups and neither do linked files.

    If you don't renew your subscription:
    - Metadata will continue to sync as before
    - All local files will remain in place as they are now
    - No new files will sync
    - After a grace period, all files on the Zotero servers (beyond the free storage) will be deleted. Again, that will not affect their local copies.
