Best Practice with Managing Zotero with Multiple Access

Hi,

Please do folks have best practices or suggestions on how best to manage a Zotero account within a research center. This means an unlimited paid Z-account registered with an infor@ email address that anyone in the Research team has login access to.

Does anyone have tips to manage folders, avoid duplicates, and let all team members know how and where to put things? Any copy of a "How-to-guide" doc too will be helpful.

  • The first things I'd say is that in most scenarios, not using a single account is preferable. That allows people to maintain personal Zotero accounts while participating in the group. The main, unlimited account for the team would own all groups in which researcher would collaborate, so would be the only one that bears any costs.

    But if you really don't want to go that way, the biggest things are to
    a) agree on a filing schema as much as possible (which could include that only some researchers add to the library; we e.g. just have a Slack channel where people put resources to add and a couple of graduate students regularly file those away)
    b) ensure that everyone has automatic sync enabled to minimize potential sync conflicts.
