Previous documents disappear after mass importing documents

Hi, for a research project, I had to mass importing hundreds of journal article from Proquest using the Zotero plug-in on google Chrome. When I did so, I've encountered some issue such as not enough space. I refreshed Zotero and reopened it and it seemed the space issue was gone. But afterwards, I realize all my documents and notes I've saved years before was gone. All was left were the documents I mass imported.

I've tried checking the Show Data Directory and found the storage file, but inside the file were only documents that I've mass imported, nothing from before. I wasn't able to open the sqlite.bak file but from the information of the file, I can see that it was created on the date when I did the mass importing, not before. I also did a spotlight search on my computer using the key words I remember from some of the lost documents and none of the result return are those missing files.

I'm really panicking now as those documents and notes accumulated over the years are quite important for me. If anyone could kindly let me know what I could do, I'd really appreciate it. Thank you in advance!

What space? Online file storage space?
I refreshed Zotero and reopened it and it seemed the space issue was gone.
What exactly do you mean by this? What does "refreshed Zotero" mean?
  • Hi dstillman,

I think the message was saying not enough space on Zotero. Initially, I've added more than hundreds of documents and realized I imported the wrong documents so deleted them in mass. I've done this several times, but I didn't delete the documents I've saved previously as those were in several other files.

By refreshing I mean I clicked on the sync button on the right hand side.

No, that's not what it was saying — it was saying that you had reached your storage quota for online syncing of files. File syncing is optional, and there's no limit to how much you can store locally. If you rely on file syncing you may very well want to stay under that, or add an online storage subscription, but it doesn't affect your local copy of Zotero on the computer where you added the files.

There are a large number of deletions from today in your online library, and no remaining items created before today. We can't see when the deleted items were created, but if you previously had items from before today in your online library, and if they disappeared in your local Zotero when you synced, then I'm afraid the answer is simply that you deleted the previous items by mistake, on this computer or another synced computer. There's no other way for them to disappear during syncing.

The only other possibility would be that you were previously syncing with a different Zotero account and chose to switch accounts, in which case Zotero prompts you before removing the local data associated with the other account (which would likely still exist online in the other account.)

How many .bak files do you have in your Zotero data directory? Unless you switched accounts or were using a different data directory, if you've been using Zotero you should see at least a .bak and a .1.bak file, going back two days, and if you just did this you would be able to restore from one of those (though attached files would be lost).
  • Hi dstillman! Thank you so much for you explanation. I really appreciate it.

I do have two zotero account, but I've always had the current on opened. But just in case, I just checked the other account (both online and local), and none of the missing files are there :(

I do have one .bak and one .1.bak file. Can I still try this option if it's created after the date the files went missing?

    Thank you very much!

If it was created after the items were missing then it wouldn't contain the items. Looking again, I see that most of the deletions were on April 12, not today, so that would be beyond the last automatic backup dates. I'm afraid your only option, then, would be to restore from some other backup you have of your computer or your Zotero data directory.
  • My zotero directory refers to the storage file that doesn’t necessary contain the missing files right?

Another question: Not sure how this works, but if I have mac and have time machine turned on the whole time, would the files in zotero be backed up there as well?

    Thank you!!!
  • Sorry I just checked and it seems like it’s not in the time machine...
  • See Zotero data directory for details. 'storage' is just a subdirectory.

If Time Machine was running and you're not low on disk space, it should definitely contain your Zotero data directory from a week ago.
  • I see. Thank you very much!
