Group attachments sharing

As there are some discussions about sync group attachments, I would like to share my current solution that may help some people and may also be improved by others.

The idea is to share a group collection giving an idea of the documents available.
When a document is chosen, it can be found in a folder shared by all the members of the group.

Tools :
- Zotero standalone
- a cloud storage : here pCloud
- ZotFile extension

I install and configure the Zotfile extension to:
- change the name of my PDF with Name - Date - Title
(to ease the identification inside the share online folder)
- change the storage folder of my pdf : “Zotero PDF”
(this is the folder that will be synchronized in the cloud storage)
Careful: the folder should never move afterward because it would break the links with the zotero database.



I created a cloud storage (I use pcloud) and used the desktop software to setup a synchronization of the “Zotero PDF” folder into “Zotero PDF – Myname”
The account will be shared with all the members of my group so I configure the log/pass accordingly.
Each member of the group will have his folder “Zotero PDF – MemberName”

I do not directly store the pdf folder on the cloud to keep a copy of the pdf on my computer.
Also, I do not synchronize the Zotero database because I read it could corrupt the files.

Next, I select all my bibliographic references in Zotero and I use
“right click/Manage attachments/Rename Attachments”
It changes the names of the files according the rules of the Zotfile configuration but also moves the files in the global folder previously defined (“Zotero PDF”).

Then pCloud can begin to upload my PDF folder to the cloud.
Each member should do the same: Change name/move files/synchronize files

Then I can setup the Zotero group.
Library settings: “No group file storage”


Once a bibliographic reference is added to the group and a member of the group is interested in this reference.
First he can add the bibliographic reference to his zotero database.
Then, he can look in the shared pCloud account for the corresponding pdf file.

The process is not fully automatic because I have to manually “rename and move” my pdf to the global folder because Zotero do not offer to store automatically all the pdf files inside one folder.
