Unshare a group library to save storage space, keep the unshared library for yourself?

I have a Group Library called Group Library. Let's call it GL1. In GL1, I've created several different folders and within each folder several sub-folders. Within each subfolder are citations, and associated with each citation is a file (i.e., a pdf of a journal article).

Below are my questions. I would appreciate any help.

(1) Can I unshare GL1 with my group but still keep it in my own Zotero Standalone, preserving the folder system, citations, and the files (i.e., pdfs) associated with the citations? Or if I unshare GL1, will I lose the entire folder system and files I created in GL1?

If I can unshare GL1 without issue, suppose I want to share GL1 again with others in the future. Can I easily re-share it, i.e., the folder system, citations, and files?

(2) Suppose I create a copy of GL1 and name it GL2. If I create GL2, will the file associated with Citation A in GL2 be the same file associated with Citation A in GL1? In other words, is Zotero like iTunes? That is, when I create a playlist containing 10 songs found in my iTunes library, I don't also create a new copy of each of those 10 song files for use in the playlist. The playlist accesses the 10 song files I already had. Does Zotero work the same way?

A little context: Because I use Zotero on my work computer for a project at work, I cannot purchase more storage space; the contract does not permit purchases that were not stated up front when the contract was signed.

My aim in creating GL2 will be to delete particular citations (and the associated pdfs) in GL2 that aren't of interest to us, thus bringing us below the 300MB threshold. Once below the 300MB threshold, my colleagues will be able to see all of the pdfs that matter. However, I still want to access the citations and pdfs I deleted in GL2 by accessing them in GL1.
  • 1) Since there is no function called "share" in Zotero it kind of depends on what you mean. But making, e.g., a group private (or removing all other members from the group) doesn't affect its contents, so you should be fine.

    2) While Zotero does work like itunes within "My Library," (i.e. the same item can be in multiple collections at once with no duplicates) that's not the case for groups. I.e. if you have the same item & attachment in two groups, those will be duplicates.

    It sound like what you'd want to do is to move all contents of GL1 back to your personal library and then in GL1 delete all the items and attachments you no longer want to share. Then turn off file sync for your personal library but leave it enabled for groups. No need for GL2.

    Is it a problem that the contents of GL1 didn't originate from my My Library? That is, I had been putting all of the contents as I found them into GL1 -- not into My Library and then GL1.

    Follow-up question: I went to "Tools" > "Preferences" > and de-selected "Sync attachment files in My Library." Will this save me some space too? I went to my Storage space and it still shows My Library as taking up 50MB; I expected it to go down to 0MB.

    no. You'll need to be a little careful if you have Word/LO documents where you cited them, but otherwise no problem.

    turning off file syncing doesn't remove files already synced. Just click Purge Storage on
