Sharing Zotero files with an entire research team
I am the administrative assistant of an ERC project in Belgium.
I have been given the task to migrate our research library to a sustainable institutional setup before I leave the project in the coming months.
The situation is as follows:
- About a year ago, the Project Manager exported her entire Citavi library (references + files) and gave it to me.
- I imported everything into my personal Zotero Desktop account and spent months cleaning and correcting all the metadata manually.
- I then copied the references into a private Zotero group library shared with the research team.
- All group members can see the bibliographic references, but only I can see and open the attached files.
-The files are located in my local Zotero storage directory (not OneDrive, not linked attachments).
- When I open a file (PDF, word doc, soundrecording etc.) and choose "Locate File", it opens from my local Zotero storage folder.
- The files do not appear in the Zotero Web Library, and other group members do not see them in Zotero Desktop.
- I have now created a new institutional Zotero account for the ERC and the Project Manager purchased an unlimited storage subscription for that account.
My questions are:
- What is the safest way to transfer ownership of the existing group to the institutional account while preserving all references and annotations? I think that I successfully transferred ownership from my personal Zotero Web Library to ANICOM's, but I am not sure.
- How can I upload the existing files (currently stored only in my local Zotero storage) into the group library so that all members can access them?
- Is there a way to force Zotero to upload the existing attachments to the group without recreating every attachment manually?
The annotations contained in the PDFs are very important and I would like to avoid any risk of losing them. I am also concerned not to lose my own personal references in my Zotero Desktop, as I intend to continue to use it after the project. It must also be noted that I do not have access to the Project Manager's computer, nor has she purchased a separate computer for the project (and she does not intend to).
