Migrating to Google Drive

edited 4 days ago
I use and love Zotero for my Masters, and an about to restart my research after a break. My database quickly outgrew the Zotero 6GB plan so need to transfer to Google Drive. I use across 2 pc's and soon an android tablet.

I've installed ZotMoov, but not sure on the process for transferring the files whilst retaining all the markups (a LOT). Do I manually mode all the pdfs and then re-link each one in turn, or is there an automated process. I've searched quite a bit but may have missed the answer.

As part of the restart I plan to move all files back to an inbox and review each before assigning a folder and new tags, so some loss of structure isn't too big of an issue.

Normally I'd experiment but fearful of losing my work, despite auto backup (to GD).

Edit: Zotero 7 on two Windows 11 pcs. Files are out of sync due to the cloud limit

Note that linked PDF files don't work with the Zotero mobile apps (nor Zotero Groups nor the web library). There are workarounds for mobile app use via Zotmoov's custom menus (similar to Zotfile's old send/get from tablet).

For moving PDFs to Google Drive, note that we are not talking about moving your Zotero *data* directory to such a cloud drive. You can't do that.
    https://www.zotero.org/support/kb/data_directory_in_cloud_storage_folder

To move your existing PDFs to Google Drive as linked files, first in Zotmoov settings you set your 'Move To' directory (Google Drive).

Then you would select items to move and use right-click Zotmoov: Move Selected to Directory. With lots of files to move, do it in smaller chunks - that also allows you to test that everything works ... that you PDFs appear on the second computer.

Note that Zotero/Zotmoov must be able to find a PDF in order to move it. So do the move on a computer that has all your PDFs at their original locations (when you click on a PDF now, Zotero must be able to open it).

Your PDFs will remain in all the collections to which they currently belong. Your annotations, tags, etc are also unaffected by the move. When each PDF is moved to Google Drive, Zotero updates its location in the database. When that data is synced by Zotero to your other computer, and your Google Drive PDFs folder is synced as well, the file will be accessible from Zotero there (if the Google Drive parent path is different on each computer, set a Linked Attachment Base Directory on both PCs).

In Zotero Settings, data syncing is set to ON (free/unlimited) and file syncing is OFF. You should have Zotero file renaming set as you want it.

For future PDFs downloaded via the Zotero Web Connector, set Zotmoov to move them automatically.

While Zotmoov is set with a single 'Move To' folder, it also offers the ability to move PDFs to a subdirectory under that folder. But it is much simpler to ignore that option and have all your linked PDFs in a single folder.
  • Many thanks Tim, a great and detailed answer. Guess I'll have to skip the tablet then, a pity.
