Feature Request: One-Click Annotation Embedding in PDF for Cross-Device Workflow Compatibility

I'd like to suggest a simple yet powerful feature that could significantly improve cross-device workflows, especially for researchers using Zotero across platforms (e.g., iPad and desktop PC).

Problem

Currently, annotations made in the Zotero app (e.g., on the iPad) are not embedded in the PDF itself. This becomes problematic when you need to switch to external PDF readers on desktop systems.

Here are a few reasons for switching to external pdf readers:
(1) Performance: The built-in Zotero PDF reader can be sluggish with large files (e.g., 500+ page textbooks).
(2) Resolution: External readers often render pages with higher clarity.
(3) Advanced Search: Tools like Adobe Acrobat offer faster and more powerful keyword search and navigation options.

Workaround (Today’s Process)

There is a manual workaround where you can:
- Export the annotated PDF from Zotero's desktop app.
- Save the annotated file into the corresponding folder on your desktop manually.
- Open and use it with your preferred external PDF reader.

This is functional, but it's cumbersome—especially if you need to repeat this often.

Proposed Solution

Introduce a one-click "Embed Annotations and Export" button within Zotero (desktop and/or mobile). This would:
- Embed all Zotero annotations automatically into the PDF.
- Save the annotated file directly into the local storage location of the original PDF.

Workflow Example
- Annotate a textbook on the iPad using Zotero.
- On a PC, open Zotero and click the new "Embed & Export" button.
- Annotations are embedded in the file.
- Open the file in any external PDF reader with full access to your annotations.

Benefits
- Streamlines cross-platform academic workflows.
- Enhances compatibility with tools outside Zotero's desktop app.
- Reduces user friction and repetitive manual steps.

This would be a simple but very impactful feature for many users.

  • Sorry, but as noted on Annotations in Database, this functionality existed originally and was specifically removed because of the problems it would create. We have no plans to restore it.

    If there are improvements you'd like to see in the built-in readers, you should report those separately.
