Best plan of action for sharing PDFs and references?

Hello. I'm a longtime Endnote user trying to switch to Zotero. I want to be able to share a library with references and attachments with another user, I think through the online group process. I tried to sort out my questions in reading through old discussions but need help please!

I've figured out how to import my largest library (~800 references and 550 MB of attachments). I've gotten the references and attachments into the Desktop Zotero version. I then synced the desktop library with my online account. It shows all references, but only greyed out attachment files and 0 MB of storage is taken.

Questions:
1. Are all the greyed out files not accessible because the total amount at sync was more than the 300 MB free version? It seems if that was the issue it would have at least imported some of them up to the space limit?

2. I'm ok paying for more space for the attachments to have copies online, but only if when I share the group library that means the other person can access the pdfs too?

3. Assuming I can fix #1, if I copy all the refs and attachments from my personal library into a group library - does that mean the attachments get copied 2x online (need twice the storage space)?

  • 1. Sync takes up space gradually -- so if sync space was the issue, you'd be close to your 300MB quota. You might just not have file syncing enabled in the Zotero preferences/settings? Otherwise, see https://www.zotero.org/support/kb/files_not_syncing

    2. If a group is set up to include files, everyone in the group can access those files. Note that this is only possible for closed groups, i.e. groups where membership requires an invitation. Open, public groups don't allow attachments.

    3. Yes (though you could disable file sync for your personal library and only enable it for groups)
