Folder in group library reverted back to old version - help!

Hello,

Wondering if anyone has experienced this problem and knows of any solutions?

Problem:
- I am working on a project (Word document) that has ongoing updates spanning multiple years. The project was started a few years ago, and a Zotero folder was made in a group library. This group library is shared across my company.
- The Word document has in-text Zotero citations and a reference list at the end. I am using the Zotero plug-in for Word.
- I am currently in the middle of updating the Word document for 2024. I have been adding new references to the folder and also updating existing references with more recent versions (e.g., the 2024 version of a clinical guideline, for which we previously had the 2022 version saved). Everything has been gone fine - the in-text citations have been working, and the reference list has been updating perfectly.
- Seemingly for no reason, earlier this week, the folder reverted back to an old version, meaning: some newly added items are completely gone, and some updated items have reverted back to their old versions.
- For example, I had previously updated a drug monograph with a more recent version, and made highlights to the attached PDF. However, now when I click on that same reference, the meta-data indicates that the file was modified in 2025, which is correct, but the attachment is for an old version of the drug monograph.
  • In theory someone in the group could've run a special operation to replace the online version with their local, potentially older version, but it doesn't look like there've been any recent large-scale changes (e.g., more than a handful of deletions a day).

    If you email an example or two to support@zotero.org with a link to this thread, we can take a look, but usually this is just due to looking in the wrong place or misremembering what was there.

    I had hoped I was just looking in the wrong subcollection, but I am confident it is the same one.

    Due to time constraints, I ended up creating a new subcollection and redoing all of the references from scratch in the document. But I would like to try to figure out how this problem happened, so I will email Zotero support with some examples.
