File Storage and Groups

I'm trying to understand more about how file storage works with groups. I'm a librarian and am trying to set up a work flow to share Zotero cites with attached PDFs with faculty members.

It looks like who ever creates the group will be the one from whose account the attached file is stored, correct? We'll likely need to purchase additional file space, which is fine.

So, I'm trying to figure out workflow for this. Let's say I download a PDF of an article from a journal database, save it to my desktop, then go into my own library in Zotero and attach the PDF. Where does that PDF live? When I look at the file info, it appears to be storing it on my in my Firefox profile on my hard drive. This seem correct based on what I've read on the Zotero support pages.

But what happens to the attached PDF when I sync my Zotero library with my other computer? If it was stored on my Firefox profile on the hard drive of my first computer, does this mean that the file is also saved to my Zotero file storage?

If so, what happens when I access the PDF from my second computer? Does it save a copy to the Firefox profile on that hard drive also?

Ok, now what happens if I create a group library, invite my faculty member and then save some cites with attached PDFs to it. We've tested it out and I know that they can access the PDFs, but from what storage location are they pulling them from? My file storage on the Zotero website?

What happens on the faculty member's end when they access something from the group library? Does the file get stored in their own Firefox profile?

If they then take the cite with attached PDF from the group and move it to their own personal library, can it then be removed from the group library knowing that they've got their own copy now?

And does removing it from the group library mean that it is no longer taking up server space on my (as group owner) Zotero file storage?

Thanks for helping to clarify.
  • 1. Yes
    2. Yes, in the storage folder of your Zotero data directory.
    3. Sort of, if the item is in the group library, it doesn't count against your Zotero File Storage quota, unless you are the group owner. And it only counts once-- no matter how many people end up downloading the PDF. But yes, it is still is on the Zotero File Storage servers.
    4. Yes, but there is discussion of finding ways to reduce the amount of disk space required, such as downloading files on an as-needed basis.
    5. They are downloading then files from the Zotero server-- those files (files in the group library) are stored in Zotero File Storage and they count against the quota of the group owner.
    6. Yes, all the attachments in the library are downloaded to the local profile when they sync after joining the group. The same bit about as-needed downloading as a desirable feature applies here too, but that's the way it goes for now. This is mainly because Zotero is designed to work nicely offline.
    7. Yes.
    8. Yes.

[Next time, can you number your questions? I'm not very good at counting.]
  • Thanks for the quick response. And, yes, next time I'll number my questions.
