Group library issue
The problem: I have been editing a large group library for which I am the owner. As part of the editing process, I have been moving a number of files from "Collection A" to "Collection B", and then removing them from Collection A. Today, after the sequence of events outlined below, all the files that had been moved were now back in Collection A, as well as remaining in Collection B. I am hoping someone can provide an explanation as to why.
The sequence of events:
- My assistant assembled a collection of some 900 plus documents on her own Zotero library.
- She registered and synced her library with Zotero.
- I created a Closed Group in which members have editing privileges, and invited her into the group.
- She accepted my invitation, and then transferred her library over to the group library.
- Over two weeks of editing, I moved about 200 of these files into a new collection within the group library, and then removed them from original collection.
- During the last two weeks, my assistant assembled another 700 or so documents. Note that she has auto-sync turned off, and only syncs occasionally.
- Today, I had her sync her library again, so she could transfer the new documents into the group library. Because she was going to exceed her 1GB of storage space, I had her delete her initial library of 900 plus files, as she had already successfully transferred these to my group library.
- I synced my library about an hour ago. I also have auto-synced turned off, and only sync every few days. After syncing, the new files from my assistant were now in my group library.
- However, after syncing, the files that I moved from the original collection in the group library to the new collection in the group library are now back in the original collection again, as well as remaining in the new collection. I will have to go through and remove them from the original collection all over again.
I can only assume that this is related to my assistant deleting the initial collection of 900 files from her own library. Is this correct? If so, why? My understanding is that once she had moved these files into the group library, they were now resident in my storage space. Why would they be affected by her deleting them from her personal library? Is there another explanation for what happened?
Any insight would be appreciated.

When one of you synced, you likely received a message saying that items had been added and/or removed from the collection locally and remotely, and that the removed items had been added to the collection.
When Zotero syncs, the list of items in a changed collection is retrieved from the server and/or sent to the server. Zotero doesn't track the entire history of individual additions and removals from collections, because that'd just be too much granularity to store. So, if two people have added or removed items from a collection without syncing, then all Zotero knows is that the list of items has changed on both sides, and it opts to err on the side of preserving data.
Auto-sync is the default setting, and it's fairly important for smooth collaboration. If you're both going to be making changes to the library, we recommend keeping it enabled.
