Data migration AND Bibliographic index

1.I'm planning to switch to a new computer, but I don't want to re-download and store all my reference and bibliography materials again. How can I migrate my data to the new computer to ensure that my references, Zotero settings, and plugins are perfectly cloned?
2.Someone has sent me a document with citations generated using Zotero, and I need to annotate and edit it directly. Before making any changes, how can I import all of their citation data into my own Zotero library? If I don't import their references, any deletions or edits I make in Word will be treated as plain text, which could disrupt the citation order. Only by importing their citation data into my library can I edit the document using Zotero's citation codes, allowing Zotero to automatically manage and update the citation order.
  • 1) For library data, see Transferring a Library. Settings and plugins are stored in the Zotero profile folder. You could try transferring the parent folder (with profiles.ini), but we don't usually recommend that.

    2) You can continue using Zotero citations inserted into a document, and insert them additional times, but it's correct that you can't make edits to the data for those beyond manual edits in the document that will prevent the citations from updating. Currently, if they didn't create the library as a group library, there's no good way for you to continue working on it while being able to edit the data. We're working on a better solution there.
  • Thank you so much.I have two more questions.
    1. if I insert a Zotero citation into a Word document that someone else sent me, will the citation order in Word be updated accordingly? For example, if the original sentence is 'xxxxxxxxxxx56, xxxxxxxxx57', and I insert a new citation in between, will it update to 'xxxxxxxxxxx56, new citation 58, xxxxxxxxx59'? Or will it reset the numbering to 'xxxxxxxxxxx56, new citation 1 (renumbered), xxxxxxxxx57'?"
    2. if the answer to the previous question is: 'Word will renumber the citations based on your own Zotero library,' then if I log into that person's Zotero account and have access to the exact same library they used when writing this document, will I be able to insert and edit citations in the Word file just as easily as they could on their own computer?
  • Yes, existing Zotero-created citations in the document will work normally, and you can even cite them again by choosing them from the Cited section of the citation dialog. You just can't currently edit their associated metadata.
  • Thank you sooooooo much!
