Managing group libraries

Hi, I've read a bunch of posts on groups but still not sure, so wanted to confirm:

For group libraries, if I want the attachment (e.g., pdf) to be available to others in the group, I need to first ensure that the group library permissions allow me to attach files, and then a simple drag and drop from my library to the group library should copy the pdf over to the group library and make it available to everyone. But where does that file exist? If I delete my local data storage, does the pdf then become unavailable to others?

If I sign up for the Zotero cloud storage, and I put a reference with pdf attachment into a group library, then the pdf will be available to everyone. I think that all attachments for that group library are counted toward my (as owner) cloud storage quota, correct? So in this case, if someone else drag/drops a reference with pdf into the group library that I own, that pdf is going to then transfer into my personal cloud storage where it will be available to all group members, is that right?

  • The file is synced. It first exists in your local storage, then on the Zotero server, then on the local storage of every user who syncs it down.
    If you delete the item in Zotero, it gets deleted from all those locations, but if you just delete files on your harddisk (e.g. it crashes) the file still exists in all other locations.

    And yes, correct on files always counting toward your quota.

    So I'm currently trying to troubleshoot a group library. I'm an admin, not owner of the group. Not using Zotero cloud storage yet.


    When I add a pdf attachment via right-click menu in the Firefox application, my colleague in the group can see the attachment is there but can't access it in either his standalone or the web interface ("The attached file could not be found. It may have been moved or deleted outside of Zotero.").

    When I add a pdf attachment via the web interface, my colleague can see it but not access the pdf in his standalone, but *can* access the pdf in the web interface.

    Is this the expected behavior?

  • Thanks Adam. Oversight on my part--file syncing was not all the way on. Problem resolved.
