Deleting local copies of pdfs in a group library

Hi - A research group that I'm in has been maintaining a shared repository of publications via a Zotero group library. Two years into the project, all the pdf attachments in the group library have caused it to grow to substantial size (> 5 Gb). We've now run into a problem because a lot of people in the research group all have accounts on a shared local server. Since Zotero on this server was set up with the preference to "sync attachment files in group libraries using Zotero storage" turned on, the pdf attachments in the Zotero group library have been replicated into many local copies on the shared local server. At 5 Gb in the library times a couple dozen members in the research group, this is now adding up to a substantial impact on the local server. A couple questions, then:

1) Is there a way to purge en masse the local copies of the pdf attachments? One can uncheck the "sync attachments in group libraries..." preference, but it appears that will affect only future retrievals to the local library via sync, and not alter the current state.

2) If one was to open the group library in one's own Zotero workspace and delete the attachments individually from local storage, how does one ensure these aren't also deleted from the library on the Zotero group server?

  • you could do a saved search for PDFs in the zotero/storage folder on the local HD/server and just delete the PDFs. Those deletions won't sync, so the files will remain on the server.
  • A user at my institution was asking a similar question: she participates in a group library and is finding that the number of PDFs on her local machine is starting to fill up her machine's storage. She would like to remove the local PDFs without causing the PDFs in the online group library to disappear, but she would also like to add items to the group library in the future and have them (and their attachments) sync to the online group library.

    I did a quick test, removing one of the PDFs from a group library by turning off data syncing for groups in my Zotero for Firefox preferences, deleting the PDF from the group library, and then turning syncing back on. After turning syncing back on , the PDF disappeared from the online group library.

    What options does this user have for relieving her storage issues on her local machine but also being able to sync future items (with attachments) to the online group library, all without causing attachments from the online group library from disappearing?

  • As I say above, deleting the files in the files system rather than Zotero--i.e. deleting the physical file in Finder/Explorer should work. She can also set Zotero to download files on demand (sync preferences) so she doesn't get new files downloaded by default.
