What to do about lost links to references after import/export

I'm wondering what exactly are the ramifications for the current situation wherein links to references in existing documents are lost after an export/import.

I have imported several of my co-workers' libraries onto my computer, because I need to create a single document out of their individual contributions, and, of course, I want the footnotes and bibliography to be uniform across the document. I had read the warning about references getting lost after export/import and never quite understood what this meant until now. Whooops. In any case, when I try now, in the new document, to work with existing footnotes, I get the "library entry no longer exists in Zotero" error message, and I understand why, but my question is basically, now what? There are only two alternatives that I can think of so far. Any thoughts on these scenarios below?

Have all the citations in this new document, which no longer seem to be 'linked' to the Zotero database, essentially become regular, 'inactive' footnotes, which I can edit just as I would edit regular text?
Or
If I have the individual authors designate a network folder as the profile directory for their libraries (as you guys have described in "Sharing an existing Zotero Library on a Network Server") and then I use this same folder for my profile, will this alleviate the problem and allow for linking between this new, consolidated document I created?
Thanks for your help.
  • As a follow up to this post:
    -I tried having the other authors designate a network folder as the profile directory for their libraries, and this isn't working as a solution. Is there any creative way to ostensibly re-link my document (which is a consolidation of about 6 different documents, each written by separate users with separate libraries) to a shared library (which would be 'shared' only ex post facto, by having the different users designate a shared folder on the network as their profile directories)?
    Any suggestions will of course be greatly appreciated.

    To my knowledge, no, there is not currently a way to do this. There are plans to resolve the issue with sharing word documents between different Zotero users. You can follow that conversation here https://www.zotero.org/trac/ticket/1086

    Aside from that there are a few groups that are trying to use a single account in Zotero 1.5 to sync across each of the machines. This would allow each participant to work with the document as the same user. If you do decide to try this keep in mind that 1.5 is still in beta, take the necessary precautions with backing things up and such.
  • I've also encountered a similar problem after reverting from Windows Vista to windows XP (system crashed) and importing an older version of my zotero database (only a couple of days old). All of my current journal articles footnotes say that all my "citations no longer exist in zotero" however, they are all listed in my zotero database. I was using Zotero 1.5 Sync with Firefox 3.0 and Windows 2007 and have installed this version in my new update. Is there anything that can be done to restore the links to my database?

    If you were backing up via the recommended method of duplicating your zotero directory, then you can restore that directory. If you had using the sync beta, you could have retrieved references from the server.

    The import/export does not retain record identifiers and, if this is all you have, then no--there is no "easy" way to restore links. You could do so by manually replacing citations with the plugin and/or (possibly) by editing your database (in sqlite) or your documents (if you have an XML-based document format, you could search/replace identifiers in a text editor).

    I do have an xml format but not certain what the identifiers are and which need replacing. Are there instructions anywhere to explain how they work and what they are? Does each footnote have a unique identifier and what point them to my new Zotero database?
  • if it doesn't take you too much effort you could just export all the different bibliography entries from each co-worker in the BibTex format and then include the resulting bibliographies into a LaTex document using

    \bibliography{bib_worker1, bib_worker2,...,bib_workern}
